EXAMINING PRESERVATION AND CONSERVATION OF STUDENTS RECORDS AT MACKAY MEMORIAL COLLEGE NATEETE
The study sought to examine the preservation and conservation of students‟ records at Mackay Memorial College Nateete. This emerged because of the problem that there was poor preservation and conservation techniques used for students records at the institution like acidic boxing, use of glue and sole tape to conserve the damaged records to mention but a few. The study intended to investigate the available poor preservation and conservation techniques and their effects to both students‟ records and the institution at whole. The study adopted a mixed method approach where the study drew on data from primary and secondary sources. Data collection from primary sources was carried out using interviews, which made it possible to study the personal perspectives and experiences of those involved in the preservation and conservation of students‟ records at Mackay Memorial College Nateete. The approach provided an insight where data was collected from the school‟s administrator, Director of studies, librarians, secretary students, through a total of ……..Interviews. The findings indicated that there are three types of students‟ records that are preserved and conserved that is students‟ academic record, students‟ confidential record and a record documenting a student as an individual and consumer of services provided by the school, supplementary records, and students‟ curriculum records. It was clearly stated and observed that the records are preserved and conserved in different media such as paper which is the most used, electronic media and these were available in the school and also there were preservation facilities like file folders, cabinets and boxes were the most commonly used storage facilities. It was again noted that the alphabetic filing system, alphanumeric, and numeric were used in filing students‟ records according to academic year The analysis of the findings of the study revealed that the major problems faced were; lack of proper students‟ records preservation program, lack of qualified and professional records management staff, poor storage conditions which result in fading, swelling, tear and wear, inadequate storage space, technological obsolescence. It was recommended that the school authorities should come up with procedures leading to efficient preservation and conservation of the students records. It was also suggested that the school authorities should train records professionals and also provide funds. It was also recommended that the school should enhance information communication technologies in the management of students‟ records.
